About emails from billing.fiskaal.co.za

The accounting firm that acts for a business can use this service to email that business's documents in its name: tax invoices, credit notes, quotes and statements to its customers, and remittance advices and purchase orders to its suppliers. Emails sent through this service come from an address ending in @billing.fiskaal.co.za.

Who sends them

The business named in the email. The documents are sent in that business's name, and only after the business has signed a written mandate allowing it. If you reply, your reply goes to the address the business chose for replies. If other people are copied on the email, such as the staff member who sent it, a reply to all reaches them too.

No tracking and no marketing

The emails carry no advertising, no tracking pixels and no click tracking. For these emails, your address is used only to send you that business's documents and to record whether they were delivered. It is never used for marketing. Because they are business documents rather than marketing, they have no unsubscribe link. If you would rather not receive them by email, ask the business to stop emailing them to you.

Before you pay

Never pay into new or changed bank details because of an email alone. Confirm them with the business by phone, on a number you already hold.

A wrongly addressed, unexpected or suspicious email

If an email from billing.fiskaal.co.za reached you by mistake, or you did not expect it, reply to tell the business, or write to us at andre@bilhen.com. Please include the sender's address and the date the email arrived.

If you think an email is not genuine, do not act on it. Contact the business on a number you already hold, and tell us at the same address.

On this domain, only billing.fiskaal.co.za and notify.fiskaal.co.za send email. notify.fiskaal.co.za is for system notices to people who use the software.

Privacy

The business that emailed you is the responsible party for your personal information under the Protection of Personal Information Act (POPIA). Its operator for these emails is the Bilhen company named in the business's signed email mandate.

For these emails, the operator uses your email address only to send that business's documents and to record whether they were delivered, and keeps it confidential. The operator also keeps the business's accounting records for it, and these may include your details.

Before any business's documents are sent through this service, each of the operator's sub-operators acts under its own data-processing terms:

Each email is kept as it was sent, with its delivery events. It is kept for seven years, or for five years after the related tax return is submitted if that is later, and for as long as any SARS audit, objection or appeal is open. It is kept longer if the business asks. The addresses and text are then de-identified.

If an email to your address bounces permanently, or a spam report about it is received, email to that address for that business stops, and the business is told. It resumes only if the operator's staff clear the block and record a reason. After a spam report, only an administrator can clear it.
